How to host an online event
Moving events online makes attendance accessible to a wider audience and encourages audiences to more active participation (they are less inhibited to share their opinions or ask questions). However, the organisation of an on-line events requires taking into consideration many aspects which are not so relevant in the case of traditional “live” meetings. We would like to share with you some tips derived from our own experience.
Tips from R//C:
- Allow people to feel comfortable during the event. Some people don’t like to be seen on video. For interaction, give them the choice to use chat instead of video.
- Engage your audience. Follow audience’s suggestions, use icebreakers, ask questions, give exercises. . Ask people to participate in polls and quizzes. Do not overload them with too much information.
- Make it Inclusive. Provide captions and visuals where possible for audio presentation and provide description wherever possible for visuals. Use clear language and large fonts.
- Use visuals. Visual communication is more important than ever, it makes us stand out from many other organisations that has also moved online. It triggers imagination, it inspires change, triggers emotions.
- Choose the right time (day of the week an hour). This will depend on the target group you have chosen. If possible, keep content accessible on-line after live presentations for those who couldn’t participate.
- Technical problems are common. Be prepared for them and make a rehearsal. Most importantly, do not let stress overcome you - there are always alternative solutions.
